Terms and Conditions – General Terms and Conditions

SCOPE
These General Terms and Conditions (hereinafter referred to as GTC) apply to the provision of rooms and all related services and deliveries by Hotel Allegra Lodge or achesa Lifestyle AG (hereinafter referred to as Allegra Lodge) to customers (hereinafter referred to as guests). All offers made by Allegra Lodge are based on these GTC. They form an integral part of every contract. Any changes to these GTC require an express written agreement between the parties. This also applies to the waiver of the written form requirement. If these GTC contradict any contractual terms and conditions of the guest, these GTC shall take precedence.

CONCLUSION OF THE CONTRACT
Following the reservation by the guest, the guest will receive a written reservation confirmation from Allegra Lodge by email. The contract between the parties is only concluded when Allegra Lodge sends this written reservation confirmation to the guest.

 

 

Terms and Conditions – Hotel Rooms – Individual Reservations

1. ARRIVAL AND DEPARTURE TIMES
The hotel room is available from 02:00 pm on the day of arrival and must be vacated by 12:00 noon on the day of departure.

2. CANCELLATION OF AN INDIVIDUAL RESERVATION | DIRECT BOOKING
This applies to reservations made by the customer by telephone, via the hotel’s official website, or by email:

Individual bookings can be canceled free of charge until 04:00 pm on the day of arrival (special offers and special rates excluded). After 04:00 pm, a no-show fee of 80% of the room rate for the first night will be charged.

3. CANCELLATION OF A ROOM RESERVATION MADE THROUGH AN EXTERNAL BOOKING CHANNEL
Cancellations of reservations made through an external booking channel, such as Booking, Expedia, etc., can only be made through the corresponding channel under the conditions displayed there.

4. PAYMENT
The hotel bill must be paid at the latest upon check-out. Exceptions are listed separately.

5. SMOKING IN THE HOTEL ROOM
All hotel rooms and public areas are non-smoking. Smoking in the hotel room or out of the window will be penalized with a cleaning fee of CHF 250.00. A covered smoking area next to the hotel entrance is available to all smokers.

7. LAW AND PLACE OF JURISDICTION
Swiss law applies exclusively. The place of jurisdiction for any disputes is Kloten/ZH.

Terms and Conditions – Hotel Rooms – Group Reservations

1. ARRIVAL AND DEPARTURE TIMES
The hotel room is available from 02:00 pm on the day of arrival and must be vacated by 12:00 noon on the day of departure.

2. CANCELLATION POLICY FOR GROUP RESERVATIONS
Cancellation of a confirmed group booking must be made in writing to Allegra Lodge. Unless otherwise agreed in writing, the following costs will be charged:

– Up to 60 days before arrival I No charge
– 59 to 30 days prior to arrival I 50% of the room rate
– 30 to 0 days prior to arrival I 100% of the room rate

The basis for calculation is the number of rooms and the length of stay specified in the final reservation confirmation.

3. CANCELLATION POLICY FOR GROUPS WITH ROOM ALLOCATIONS
Written notification must be sent to Allegra Lodge when canceling a confirmed group booking with a room allocation. Unless otherwise agreed in writing, the following costs will be charged:

From 8 to 10 rooms:
a) The entire group booking can be canceled free of charge up to 2 days before arrival.

b) Up to 2 rooms can be canceled free of charge up to the day of arrival.

c) The group reservation is guaranteed by the organizer providing a valid credit card, and the rooms will be kept available for the entire night.

d) If the group does not arrive or fewer rooms than booked are occupied, Allegra Lodge will charge 80% of the total price for the first night.

e) The hotel bill must be paid when the group departs.

From 11 to 19 rooms:
a) The entire group booking can be canceled free of charge up to 10 days before arrival.

b) Up to one day before arrival, 3 rooms can be canceled free of charge.

c) The group reservation is guaranteed by the organizer providing a valid credit card and the rooms are held free of charge for the entire night.

d) If the group does not arrive or fewer rooms than booked are used, Allegra Lodge will charge 80% of the total price of the first night.

e) The hotel bill is payable upon departure of the group.

From 20 to 29 rooms:
a) The entire group booking can be canceled free of charge up to 21 days prior to arrival.

b) Up to 7 days prior to arrival, 10 rooms can be canceled free of charge.

c) Up to one day prior to arrival, 3 rooms can be canceled free of charge.

d) The group reservation is guaranteed by the organizer providing a valid credit card, and the rooms will be held for the entire night.

e) If the group does not arrive or fewer rooms than booked are used, Allegra Lodge will charge 80% of the total price for the first night.

f) The hotel bill must be paid when the group checks out.

From 30 to 39 rooms:
a) The entire group booking can be canceled free of charge up to 28 days before arrival.

b) Up to 14 days before arrival, 15 rooms can be canceled free of charge.

c) Up to one day before arrival, 3 rooms can be canceled free of charge.

d) The group reservation is guaranteed by the organizer providing a valid credit card, and the rooms will be held for the entire night.

e) If the group does not arrive or fewer rooms than booked are used, Allegra Lodge will charge 80% of the total price for the first night.

f) The hotel bill must be paid when the group checks out.

4. NAME LIST & MENU SELECTION
For group bookings of 8 rooms or more, the organizer must provide Allegra Lodge with a list of participants containing the following information at least 7 days before arrival:

• First and last names of guests
• Arrival time
• Payment terms of guests
• Desired time for breakfast
• Desired time for lunch or dinner
• Selected menu for the group

After the deadline set by Allegra Lodge, any rooms still available from the block will be released for open sale.

5. PAYMENT
The hotel bill must be paid upon check-out at the latest. Exceptions will be listed separately.

6. ADVANCE PAYMENT
Organizers based outside Switzerland:
• 50% of the total amount must be paid by the end of the regular cancellation period
• 100% of the total amount must be paid 2 days before the group’s arrival

Allegra Lodge reserves the right to request advance payment from the organizer at any time.

7. SMOKING IN HOTEL ROOMS

Terms and Conditions – Seminars, Meetings & Events

1. RESERVATION | BOOKING
All reservations will be confirmed in writing by the hotel. In the case of provisional bookings, the customer is requested to announce their final decision within 20 days. The hotel reserves the right to re-let provisionally reserved rooms as long as no written confirmation of reservation has been received. A reservation becomes legally binding as soon as the hotel has received a legally valid signed copy of the confirmation from the customer. The hotel undertakes to provide the agreed services and deliveries on time. The organizer undertakes to accept these and to pay for them within the agreed period.

2. AVAILABILITY OF EVENT ROOMS
The event rooms are available to the organizer for full-day events from 08:00 am to 05:00 pm. The hotel reserves the right to use these rooms for other evening events.

3. SETTING UP THE EVENT ROOM
Setting up the room on the previous day is free of charge from 07:30 pm onwards, but subject to availability. If the organizer wishes to use the room for setting up before 07:30 pm, 50% of the room rental fee will be charged.

4. SURCHARGE FOR LARGER ROOM SUBJECT TO AVAILABILITY
If a seminar room is required at short notice that accommodates a larger number of participants than contractually agreed, an additional CHF 10.00 per person will be charged.

5. NUMBER OF PARTICIPANTS
The final number of participants must be announced 2 days before the event.

6. NO-SHOW NUMBER OF PARTICIPANTS
Deviations of more than 5% from the number of participants confirmed 24 hours before the start of the event will be charged at 100%. This applies to both booked hotel rooms and ordered menus.

7. BILLING BASIS FOR THE DAILY FLAT RATE
The number of persons stated on the final reservation confirmation shall be used as the basis for billing, unless more guests attend the event or the hotel is informed in writing of the lower number of participants at least 48 hours before the start of the event.

8. CANCELLATION POLICY
Cancellation of a definitively confirmed seminar, meeting, or event requires written notification to the hotel. The following costs will be charged:
– No costs up to 10 days before the event
– 10 to 5 days before the event: 50% of the daily flat rate or room rental
– 5 to 0 days before the event: 80% of the daily flat rate or room rental

The basis for calculation is the number of participants and the duration of the seminar as stated in the final reservation confirmation.

9. DISTRIBUTION OF GIFTS
Gifts or documents for distribution to hotel rooms must be handed in at reception. If gifts are provided by 11:00 am on the day of arrival, they will be distributed to the booked rooms free of charge by 03:00 pm. For gifts distributed to rooms outside these times, the hotel will charge CHF 5.00 per room.

10. SMOKING
All event rooms, public areas, and hotel rooms are smoke-free. Smokers can use the covered smoking area next to the hotel entrance.

11. PARKING
Parking spaces are available for meeting participants in the hotel’s underground garage. Additional parking spaces are located on the hotel grounds.

12. ADDITIONAL SETUP OR DISMANTLING WORK
The hotel will set up the event rooms in accordance with prior arrangements with the organizer. Additional costs for extra setup, conversion, or dismantling work will be charged at CHF 100.00 per employee hour.

13. DISPOSAL
The organizer may have the hotel dispose of any leftover decorative materials or documents after an event. The hotel reserves the right to charge a disposal fee for larger quantities. Materials or documents that have not been explicitly handed over to the responsible hotel employees for storage against a written receipt after the event will be disposed of (not shredded). The hotel accepts no liability for the loss of such documents or materials.

14. LIABILITY
The organizer is liable to the hotel for damage to the facilities or inventory and for losses caused by the organizer, its assistants, or participants. In order to prevent damage, the installation of decorative materials and other objects must always be agreed with the hotel. In any case, the organizer must ensure that the materials comply with fire safety requirements. The hotel accepts no responsibility for theft of or damage to objects, clothing, and materials brought onto the premises.

15. TERMS OF PAYMENT AND PRICES
All prices are in Swiss francs and include service and value-added tax. The hotel invoices in Swiss francs. Prices quoted in euros are indicative and will be charged at the respective daily exchange rate. The hotel reserves the right to request a deposit for certain orders exceeding CHF 5,000.00. The reservation will only become final upon receipt of this deposit. If the event is canceled within the chargeable cancellation period, the deposit will not be refunded.

If the billing address is abroad, the hotel may invoice 100% of the confirmed service in advance (advance payment 7 days before arrival) or charge a valid credit card. Invoices are payable within 20 days of the invoice date. No discounts or rebates will be granted. If individual services are to be paid for by the participants themselves, the hotel will collect payment for the services rendered on site. If this is not possible, the organizer is obliged to cover the costs if they cannot provide a valid billing address for the participants.
